Choose the Right Workspace

This page explains where work should live so users do not mix one-off tasks with long-term document operations.

Workspace model

  • Public tools are best for quick single tasks with minimal setup.
  • My Files is best for personal file history, repeat access, and lightweight organization.
  • Shared workspaces are best for team folders, permissions, guest intake, and auditability.
  • AI Document Assistant workspaces are best when file indexing, alerts, comparisons, and document Q and A matter.
  • Hiring workspaces extend guest uploads and AI evaluation into structured recruiting flows.

How to choose

    Choose public tools if speed matters more than history or collaboration.

    Choose shared workspace folders if teammates or external contributors are involved.

Decision signals

  • If files need approval, tracking, or team ownership, use a workspace folder.
  • If answers need to remain reusable over time, use AI indexing rather than one-time chat only.
  • If someone outside your company needs to send files in, use guest upload links rather than an internal seat.
  • If candidate data needs scoring, ranking, or status tracking, use the Hiring suite instead of generic file folders alone.

When to move from one model to another

It is normal to start in a public tool or personal file area and later move into a shared workspace. The trigger is usually repeatability: once the same file type, review flow, or AI question set keeps appearing, the workflow should move into a place where permissions, history, and templates are easier to manage.

Likewise, AI Document Assistant should be introduced when the team is repeatedly asking similar questions over the same folder set. Hiring should be introduced when intake turns into structured evaluation rather than passive storage.

Common questions

What is the difference between AI PDF Chat and AI Document Assistant?

AI PDF Chat is optimized for asking questions against uploaded PDF context immediately. AI Document Assistant adds indexed workspaces, saved searches, alerts, compare modes, and broader folder-level retrieval workflows.

Do guest upload links give external users workspace access?

No. Guest upload links are intake endpoints. They let external users submit files without entering the internal workspace.

Can one team use several workspace models at the same time?

Yes. That is common. For example, a team may use public tools for fast conversions, a shared workspace for durable files, AI Document Assistant for indexed knowledge, and guest upload links for external intake.
