My Files and workspace folders are where persistent document operations begin, including uploads, indexing, sharing, and automated processing.

Folder strategy

Use folders to separate active work, archived material, AI-indexed sources, and external submissions. That structure makes permissions, alerts, workflows, and hiring pipelines easier to manage later.

Operational patterns

  • Store source files and finished outputs separately when traceability matters.
  • Keep intake folders distinct from approved or active production files.
  • Use predictable naming so teammates and AI retrieval workflows can interpret the file set consistently.
  • Treat version history as part of the process, not only as emergency backup.

When a folder should become a workflow boundary

If the same folder repeatedly triggers manual steps such as conversion, indexing, review, and export, that folder is a strong candidate for automation or an AI-managed operating flow. In other words, good folders often reveal where workflows should be introduced next.
