Resume Intake and Shortlisting

This use case page shows how FlexFiles connects intake, parsing, ranking, evidence review, and recruiter actions into one recruiting flow.

Typical recruiting workflow

  1. 1

Create a job and publish a dedicated candidate upload link by selecting the HR recruiting guest-upload use case.

  2. 2

Collect resumes and optional cover letters without giving candidates workspace access.

  3. 3

Parse profiles, apply knockout rules, and review fit-score evidence.

  4. 4

Use the recruiter assistant to filter, compare, and shortlist candidates.

  5. 5

Keep rejected, withdrawn, and discarded states auditable without letting them pollute default ranking context.

Why this works well

  • Recruiters move faster because parsing and triage are structured.
  • Decision transparency improves because reason codes and evidence are visible.
  • Rediscovery prevents strong past applicants from being lost.

Implementation advice

  • Define role requirements and knockout rules before the first candidate arrives.
  • Use one HR upload link per role so the downstream profile logic stays coherent.
  • Do not use a general intake link for recruiting if you expect recruiter scoring, rediscovery, and candidate lifecycle controls.
  • Standardize recruiter notes and playbooks when several reviewers share the same queue.
  • Review discarded and withdrawn handling intentionally so default rankings stay relevant.
