Quick Start

This guide helps new users move from signup to conversion, workspace setup, AI usage, and external file collection.

Your first decision: tool page or workspace

Use a public tool page when you need a single conversion or PDF task right now and long-term history is not important.

Use a workspace when you want file history, collaboration, AI retrieval, structured intake, or repeated operations.

Use AI Document Assistant when your goal is understanding content rather than changing file formats.

Use Hiring when resumes, candidate comparisons, and auditable screening workflows are part of the process.

Fastest setup path

  1. 1

Create an account and open My Files or Workspace.

  2. 2

Upload a sample document or use a public conversion tool.

  3. 3

Test one outcome: convert, edit, ask AI a question, or create a guest upload link.

  4. 4

If your work is recurring, create a folder structure and enable the relevant AI or workflow features.

  5. 5

Invite teammates only after your folder and permission structure is clear.

Most common starting points

  • Marketing or operations teams usually start with conversion and PDF editing.
  • Research and support teams usually start with AI PDF Chat or AI Document Assistant.
  • Client onboarding teams usually start with guest upload links and the submission inbox.
  • Recruiters usually start with a hiring job and role-specific candidate upload link.

A practical first-week plan

  1. 1

Day 1: solve a real document task using tools or the PDF editor.

  2. 2

Day 2: organize a folder structure for the files that need to stay accessible.

  3. 3

Day 3: test AI retrieval or a guest upload link against a real process.

  4. 4

Day 4: define who should have access and who should remain external.

  5. 5

Day 5: decide whether the workflow is stable enough to automate or templatize.

Mistakes to avoid

  • Do not keep operationally important files only in ad hoc tool flows if the team will need them later.
  • Do not broaden workspace access when a guest upload link or shared chat would solve the external need more safely.
  • Do not index every folder immediately. Start with the folders that actually need repeated question-answering.
